Quota Warning

 

Each CTSMAIL account has a 15MB limit. Below are ways to prevent reaching the limit, or to fix the problem if you do.

 

Here are several possible solutions if you have received this message in your mailbox:

 

Warning!

 

Your mailbox quota was exceeded. All messages to your address will be rejected.

Please, free space in the mailbox or contact server administrator.

 

1.      If you use Horde web mail to send messages and files

·        Make sure to delete your sent messages once in a while or frequently if you are sending large emails or files.

·        If you don’t use a 3rd party mail program (such as Outlook, Outlook Express, or IncrediMail) very often your mail will be left on the server unless you delete messages yourself.  You should make sure that you don’t have an excessive amount of mail or large pieces of mail in your inbox.

·        Keep in mind if you use the calendar feature on Horde to enter dates and appointments, you will be using a small amount of disk space for this also.

 

NOTE: If you want mail to be deleted immediately from your web mail box, you must click “Purge Deleted” after you have deleted the desired mail. Otherwise, your mail will still be on the server and may be filling your mailbox.

 

2.    If you send large messages or files

·        If you send an email to a full mailbox or mistype an address, the email will be returned to you. A large message or file that gets returned can be a cause for your mailbox to become full.

 

Example: You send a 22MB attachment at 11:55 and then go to lunch. At 12:05 your email with the attachment gets returned to you. Anyone that tries to send you email will get a notice that your mailbox is full until you delete the email with the large attachment that was returned to you.

 

Frequently people solve this problem before anyone alerts them their mailbox was full and they don’t understand why someone could not send them mail. Ask them to try to send again if you have recently changed or deleted anything. They may have gotten this message earlier, before the problem was fixed.

 

3.     Settings on your 3rd party email program allow your messages to be kept on the server.

·        In Outlook Express under “Tools”, “Accounts”, “Properties”, the “Advanced” tab. There is a checkbox for “Leave a copy of messages on server”. This should not be checked unless you regularly log in to web mail and delete your email.

·        In Outlook under “Tools”, “E-mail Accounts”, “View or change existing email accounts”, “Change…”, “More Settings”, the “Advanced” tab there is also a checkbox for “Leave a copy of messages on server”. This should not be checked unless you regularly log in to web mail and delete your email.

·        Other mail programs should have this option somewhere in a similar area where account settings are located.
